THE OPERATIONAL NEED

The bookings were in Outlook. The rest was wherever it had been written down.

The Outlook calendar could show that a vehicle was booked in, but it could not provide the complete workshop picture. Customer details, registrations, requested work and follow-up notes also lived on paper and in notepads. Finding the history of a returning customer depended on locating the right note—or remembering what had happened last time.

The problem was not simply the choice of calendar. It was the separation between the booking, the customer, the vehicle, the technician and the eventual repair outcome. Staff availability, holidays and working hours added another layer that the diary alone could not explain.

Rather than forcing the workshop into a generic management package, the first version reproduced the part everyone already understood: a clear calendar-led diary. Customer and vehicle matching, repair history, staff roles, completion records and management controls were then added around that familiar starting point.
